HAMILTON COUNTY BOARD OF ELECTIONS MEETING

HELD FEBRUARY 18, 2020 at 8:30AM

The meeting of the Hamilton County Board of Elections was called to order at 8:30am by Chair Gwen McFarlin. Present were members Mr. Faux and Mr. Gerhardt; Mr. Triantafilou was excused. Also present: Director Sherry Poland and Deputy Director Sally Krisel and David Stevenson and Cooper Bowen with the Hamilton County Prosecutor's office. Ms. McFarlin noted that proper notice was duly provided as required by O.R.C. 121.22. Ms. McFarlin opened the meeting with the Pledge of Allegiance.

I. APPROVE BOARD MEETING MINUTES: JANUARY 14, 2020

Mr. Gerhardt made a motion to approve the Board Meeting Minutes for January 14, 2020; Mr. Faux seconded. The motion passed unanimously.

II. APPROVE: MARCH 17, 2020 PRESIDENTIAL PRIMARY ELECTION REVISED BALLOT AND PROVISIONAL ENVELOPE QUANTITIES

Mr. Gerhardt made a motion to approve the 2020 Presidential Primary Election Revised Ballot and Provisional Envelope Quantities; Mr. Faux seconded. The motion passed unanimously.

III. APPROVE: MARCH 17, 2020 PRESIDENTIAL PRIMARY ELECTION EQUIPMENT ALLOCATION 

The Board was advised that, in addition to the standard equipment allocation, an Emergency Mobile Unit is being added. Ms. Poland explained that this is in addition to the trouble shooters in the filed who have back-up equipment; the mobile unit will carry additional equipment as well as the necessary supplies to set up an emergency polling location, to be utilized in the event an emergency situation occurs in which a polling location may be shut down for an extended period of time on Election Day.

Mr. Gerhardt made a motion to approve the 2020 Presidential Primary Election Equipment Allocation; Mr. Faux seconded. The motion passed unanimously.

IV. UPDATE: NEW WEBSITE

The new Hamilton County Board of Elections website has officially launched. Staff provided a demonstration and overview of the site, highlighting the key functions as well as new additions to the redesigned website.

V. OTHER BUSINESS

Kenny Henning, Secretary of State Liaison to the Board addressed the Board.

Mr. Gerhardt made a motion to go into Executive Session for the purpose of discussing specialized details of Security Arrangements; Mr. Faux seconded. Ms. McFarlin - aye; Mr. Faux - aye; Mr. Gerhardt- aye. The motion passed unanimously whereupon the Board entered Executive Session at 8:48am.

Mr. Gerhardt made a motion to return to Regular Session; Mr. Faux seconded. Ms. McFarlin -aye; Mr. Faux -aye; Mr. Gerhardt -aye. The motion passed unanimously whereupon the Board returned to Regular Session at 9:10am.

Ms. Poland noted that it was the desire of the Board to make the 2020 Election Security Talking Points part of the record.

The Board was advised of the upcoming Board meeting schedule and discussed a change to the next scheduled meeting from March 16, 2020 at 8:30am to March 13, 2020 at 10:30am.

The Board was advised that Staff would be making a presentation to the Media: Elections 101. This presentation is designed to provide an overview of the election process to help ensure accurate information is being communicated to the public during the 2020 Election year.

There being no further business to come before the Board, Mr. Gerhardt made a motion to adjourn; Mr. Faux seconded. The motion passed unanimously.
